Privacy policy

This explains what we collect, why, and what you can ask us to do about it.

Draft. This document has not yet been reviewed by a lawyer. It describes our intended practice honestly, but it is not a substitute for the reviewed version, which will replace it before any paid engagement.

What we collect from this website

If you submit the contact form we collect your name, work email, company, role, the entry system you file in, your approximate shipment volume, and anything you write in the message field. We also record which page you submitted from and any campaign parameter in the URL, so we know which outreach is worth continuing.

We use privacy-friendly analytics that count page views and measure loading performance. They do not set advertising cookies and do not build a profile of you across other sites.

What we collect from shipment documents

If you send documents for a pilot, those documents and the data extracted from them are processed solely to produce your entry data. They are not used to train or fine-tune any model, and they are never pooled with another customer's data. Documents may contain personal data about your staff or your customers' staff; in that processing we act as your processor under a data processing agreement, and you remain the controller.

Why we are allowed to hold it

For contact-form data, our basis is legitimate interest in responding to a business enquiry. For documents sent during a pilot, the basis is performance of the agreement between us.

How long we keep it

Enquiry data is kept for up to 24 months from your last contact with us, then deleted. Documents sent for a pilot are deleted at the end of the pilot unless you have asked us in writing to retain them for longer.

Your rights

You can ask for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Email ariel@entrywrite.com and we will respond within 30 days. If you are in the EU or the UK you also have the right to complain to your national data protection authority.

Sub-processors

We use third parties for email delivery, hosting, analytics and document processing. The current list is provided in the data processing agreement, and we notify you before it changes.
